Terms and Conditions

Welcome to MyTenancyFile (“we”, “us”, “our”, or “the Service”), accessible at mytenancyfile.co.uk. These Terms and Conditions (“Terms”) govern your access to and use of the Service. The Service is operated by Richard Miles, 3 Daffodil House, Warwick Road, Redhill, Surrey, RH1 1DH, United Kingdom. By creating an account or using the Service, you agree to be bound by these Terms. If you do not agree, please do not use the Service.

1. About the Service

MyTenancyFile allows tenants in the United Kingdom to create a timestamped photo record of the condition of a rental property, intended to help evidence the property's condition at the start and end of a tenancy. The Service is provided for personal, non-commercial use by individuals managing their own tenancies.

The Service does not constitute legal advice, and does not guarantee any particular outcome in a deposit dispute, adjudication, or court proceeding. Reports generated by the Service are intended as supporting evidence only.

2. Plans, Term and Renewal

2.1 Free Plan

New users may create one (1) property condition report free of charge (“Free Plan”). The Free Plan does not require payment details and has no fixed term.

2.2 Pro Subscription

The MyTenancyFile Pro subscription (“Pro Plan”) is offered at a recurring price of £4.99 per month, billed monthly in advance.

  • The Pro Plan begins on the date you complete checkout and provides access to additional features as described on the pricing page at the time of purchase.
  • The Pro Plan is a rolling monthly subscription with no fixed end date. It automatically renews each month on the same date as your original purchase, unless you cancel before the renewal date.
  • We may change the price of the Pro Plan from time to time. If we do, we will give you at least 30 days' notice by email before the new price applies to your next renewal. If you do not agree to the new price, you may cancel before it takes effect.

3. Cancellations

You may cancel your Pro Plan subscription at any time via your account settings, or by contacting us at the email address provided in Section 8.

  • Cancellation takes effect at the end of your current billing period. You will retain access to Pro features until that date.
  • We do not provide refunds or credits for any unused portion of a billing period, except where required by law (see our Refund Policy).
  • After cancellation, previously generated reports remain available to download for a reasonable period; we recommend exporting them before cancellation takes effect.

4. Payments and Billing

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns. Payment terms, taxes, billing, cancellations, and refund mechanics are governed by Paddle's Buyer Terms.

  • Prices shown include applicable taxes where required.
  • You authorise Paddle to charge your chosen payment method on each renewal date until you cancel.
  • If a payment fails, we may suspend Pro access until the payment is resolved. You will be notified by email.
  • Receipts for each payment are sent to the email address associated with your account.

Where the law gives you a statutory right to cancel a digital service, you may receive a refund less any amount for the service already provided at your request. See our Refund Policy for details.

5. Your Content and Data

You retain ownership of the photos and information you upload to the Service (“Your Content”). You grant us a limited licence to store, process, and display Your Content solely for the purpose of operating and providing the Service to you.

You are responsible for ensuring you have the right to upload Your Content and that it does not infringe the rights of any third party (for example, do not upload photos of other people without appropriate consent).

We process personal data in accordance with our Privacy Policy.

6. Acceptable Use

You agree not to: use the Service for any unlawful purpose; attempt to gain unauthorised access to the Service or other users' accounts; upload content that is unlawful, defamatory, or infringes the rights of others; interfere with the security or integrity of the Service (including malware, probing, or scraping); or use the Service to create fraudulent or misleading evidence. We may suspend or terminate your access for material breach, non-payment, security or fraud risk, or repeated or serious policy violations.

7. Disclaimers and Limitation of Liability

The Service is provided “as is” and “as available”. While we aim for high availability, we do not guarantee that the Service will be uninterrupted, error-free, or available at all times. To the fullest extent permitted by law, we exclude all implied warranties and all liability for indirect or consequential losses arising from your use of the Service. Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under English law.

Our total liability to you for any claim arising from these Terms or your use of the Service shall not exceed the amount you have paid us in the 12 months preceding the claim.

9. Changes to These Terms

We may update these Terms from time to time. If we make material changes, we will notify you by email or via a notice on the Service. Continued use of the Service after such changes take effect constitutes acceptance of the revised Terms.

10. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes arising from these Terms or your use of the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales.
